Administration Volunteer

Bridgeway Counselling is expanding, and we are looking for someone to grow and learn with us. As an integrative, evidence- based, general practice we strive to live up to a reputation of excellence in client focused support. As an integral part of our team and a first point of contact it is imperative that our administration reflect our practice values of compassionate, committed and consolidative mental health support.

If you have an interest in working in mental health and contributing to client care by providing exceptional volunteer administration services, we would like to hear from you.

As a fully virtual clinic we welcome applicants from across Ontario. This is a part-time, remote position. Ideally candidates should be available to commit to ten hours per week. We would love to work with a student (third year undergraduate or graduate student) who is interested in participating in the running of a private practice and can create and contribute psychology related content to our digital documents.

Duties may include:

  • Promote a warm and welcoming first contact to new and returning clients.

  • Engage referrals in short intake consultations and assign them to therapists using Jane. practice management software.

  • Manage incoming calls and emails.

  • Manage client database including new clients, inactive clients and waitlists

  • Manage client accounts, ensuring credit cards and forms are completed prior to first session.

  • Demonstrate consistent attention to accuracy and detail

  • Sending invoices and processing payments at times (therapists generally preform this task for their clients).

  • Contribute to the overall supportive and engaging clinic environment with initiatives such as implementing ideas for virtual special occasions and team building.

  • Development and management of clinic marketing material such as monthly emails and documents for incoming clinicians and interns. 

  • Develop and implement new or improved processes, as required.

  • Participate in quarterly meeting with all staff and director.

  • Social media management

  • Manage and contribute to newsletter

  • Blog writing

  • Managing resource library

  • Tracking for accounting

Ideal Skills

  • Offer a kind, nurturing, non-judgemental and respectful reception for clients who are often dealing with challenging situations

  • Assertive and critical thinking and judgement to quickly manage client requests.

  • A high level of decorum around privacy and confidentiality

  • Decisiveness while being compassionate to the needs of others.

  • Exceptional interpersonal skills

  • Excellent computer skills/technological literacy

  • Meticulously detail oriented

  • Capacity to manage multiple online platforms and applications ( We use Jane App) 

  • An efficient skill level in multitasking

  • Take initiative in asking questions and obtaining guidance when needed

  • Prompt communication including response to email and group communication platforms.

The candidate ideally possesses: 

  • An educational and/or professional background in psychology, possessing a knowledge base in mental health disorders and treatment modalities.

  • Customer care experience such reception work or customer service.

  • Must possess a strong work ethic with proven ability in leadership, initiative, independence, and an ability to work well in a team

  • Must have access to a computer and a smart phone with high speed internet access

  • Must have access to a private space and feel comfortable working remotely

  • Must be available throughout the week
